Training Rules
& Terms of Practice
The Baseline
Basics
Validity of trainings
Monthly training packages are valid from 1st September 2025 to 30th June 2026 and for a minimum of 3 months duration. July and August may be offered depending on availability, or a customised weekly package or hourly rate will apply.
Payments
We request that fees are prepaid in full within the first 10 days of each month, unless otherwise agreed in writing with the management. A 10% discount applies to siblings or full members on regular fees.
Public holidays
The Academy is closed on public holidays (a full list is available at reception and is on the Academy notice board). Missed group sessions on public holidays will not be refunded or rescheduled. In the case of repeated absence from private sessions, due to consecutive public holidays, management will assess and offer flexibility on a case-by-case basis.
Group formation & Package policy
Group sessions are organised by the Academy’s coaching team based on age and playing level. A maximum of five players per court (the usual number is 4) is maintained to ensure quality training, thus please bear in mind that by commiting to group, a place is being reserved and charged, therefore no refund is applicaple in case of absence.
Session duration
All training sessions — group, private, semi-private, and fitness — last one hour unless otherwise agreed.
Absences & Cancellations
Absences must be reported directly to the Academy in a timely manner to support lesson planning and group organisation.
Group packages are based on full-month participation; missed group sessions, regardless of reason, including illness, school activities, tournaments, or personal travel are not refundable or reschedulable.
Private sessions must be cancelled as early as possible. Sessions cancelled at short notice may still be charged, as they cannot always be reallocated. We kindly ask that players plan their schedules responsibly.
Weather policy
In case of rain or unsafe weather conditions, the Academy will inform you of cancellations via SMS or phone call. Only the sessions officially cancelled by the academy will be rescheduled or credited.
Please refer to your monthly account statement for up-to-date billing. Please do not assume a session is cancelled unless officially informed, as an off-court training seminar may be held in place of the on-court session.
Communication
All absence notifications must be made through the Academy Reception, during working hours, using the official Academy mobile (SMS, WhatsApp, Viber) or email.
Please do not contact coaches directly regarding absences, as such messages will not be accepted.
Reception Hours: Monday to Friday: 08:00–12:30 and 14:30–20:30 & Saturday: 08:00–13:30
Refunds
No refunds will be issued for missed sessions unless the cancellation is made by the Academy.
In cases of long-term illness or injury, a doctor’s note may be submitted for special consideration.
Emergency cancellations
If the Academy must cancel a session due to an emergency (e.g. coach illness or facility closure), a rescheduled class or credit will be offered.
Code of conduct
Players and parents are expected to treat coaches, staff, and fellow participants with respect, arrive on time, and demonstrate positive behaviour at all times.
Coaching from the sidelines or interrupting sessions is not permitted. Repeated misconduct may result in suspension or removal from the Academy program.
Medical conditions
It is the responsibility of the player or parent to inform the Academy of any chronic illness, allergies, or medical needs prior to the start of training.
We also recommend that all children aged 6 and above obtain a valid health certificate from the Cyprus Sports Organisation (KOA). Information & Application Forms are available at the Reception.
